Warranty Windows, a Growing Brand's Spreadsheets, and Knowing When to Just Refund

Plan the stock, but know when to close the case. Good judgment matters as much as a complete spreadsheet when a dispute has run its course.

Today was a good example of what it looks like when a client graduates from "small dropshipper" to "actual brand that needs actual inventory planning." A glasses and accessories account we've worked with for a while has grown to the point where ad hoc invoices weren't cutting it anymore — they needed real sales-versus-stock numbers to plan purchasing properly. We put together a proper sales and inventory sheet covering the past month, got a little lost in translation over the date range at first (my apologies, "June to July" is not the same as "March to July," lesson learned), but landed on a format we'll keep using going forward. Watching a client's operation mature like that is genuinely one of the more satisfying parts of this work.

On the tougher side, a customer of one of our action-camera dropshippers had opened a dispute with their bank over a slow shipment, and rather than fight it or push through a reshipment that would probably arrive after the dispute resolved anyway, we just processed the refund. It stings in the moment, especially when the package probably would have shown up eventually, but sometimes the math and the goodwill both point the same direction: let it go, move on, keep the relationship intact for the next hundred orders instead of digging in on one.

Also spent part of the day explaining warranty windows to another brand's after-sales team — once a package has been sitting with a customer for a few months, a "replace it for free" request usually needs to become a "we can resend, here's the small fee" conversation instead. Not a fun policy to deliver, but a fair one.
