What Evidence to Send for a Product or Delivery Claim

Show identity, condition and context. The right evidence makes the next decision faster without oversharing customer data.

The goal is a decision, not a larger attachment folder

When your customer reports a damaged, wrong, incomplete or missing order, the first evidence request decides how quickly you can resolve it. Collect enough to separate product defect, packing error, transit damage, setup issue and delivery exception without exposing unrelated personal information. A focused pack helps your warehouse, supplier or carrier make the next decision; a larger attachment folder does not.

Start with the minimum case record

  • A safe order or case reference and the affected product category and variant.
  • The date received or the last confirmed tracking event.
  • A one-sentence description of what was expected and what happened instead.
  • The requested outcome: investigation, missing part, replacement, reshipment, refund or another remedy.
  • The response deadline if a carrier pickup, redelivery or destruction window applies.

For damage, wrong items or missing components

Photograph the outer parcel, shipping label with personal details masked where possible, internal protection, all received contents and the affected area. Keep the packaging until the case is reviewed. For a wrong variant, place the received item beside a non-sensitive reference showing the expected material, colour or construction. For a missing component, one complete layout of everything received is often more useful than several close-ups.

The chats included beauty and accessories parcels with visible damage, apparel and home-goods orders with the wrong or missing component, and packaging complaints where the outer carton helped separate transit pressure from an internal packing miss. Without the full parcel view, a close-up of the symptom could not answer where the failure began.

For a functional problem

Use a short continuous video that shows the item identity, setup, power or connection state, the attempted function and the failure. Include the instruction followed and any safe troubleshooting already tried. Do not perform risky tests on electrical, battery, children's or other safety-sensitive products; stop use and escalate when the symptom could indicate a hazard.

Several electronics and household cases arrived initially as "not working." A clear video separated missing setup, intermittent failure, broken connection and a repeatable product fault. That difference affected both the immediate remedy and whether related stock needed a wider quality review.

For delivery disputes

Capture the carrier status, delivery timestamp, location or certificate when available, and the customer's confirmation that they checked the address, household members, reception area and carrier contact path. A delivered scan is evidence, not automatic proof that the customer personally received the parcel. Equally, some routes cannot provide a signature or photograph after the event.

Reviewed cases ranged from self-pickup notices and failed redelivery to return-to-warehouse and delivered-not-received claims. The correct next action depended on the route stage and carrier evidence. Recording the deadline mattered as much as recording the complaint.

Keep claim windows and privacy visible

Send the pack promptly because supplier and carrier evidence windows can be short. Share only the personal details needed by the authorised people handling the case. In broad team channels, use safe internal references and masked confirmation instead of repeating full addresses, telephone numbers or account data.

Send the evidence that unlocks the next decision

Ask your customer once for identity, condition, context, timeline and the outcome they need. Use that pack to resolve the case now, then compare it with earlier claims before changing your product, supplier or packing process. Do not treat one weak photo as root-cause proof or let repeated matching evidence remain isolated in separate tickets.

Operating rule: Collect evidence that can distinguish the possible causes: approved product reference, item and packaging images, relevant function, address, shipment milestones and when the problem appeared. Ask for the smallest set that changes the remedy; more screenshots are not useful when they document the wrong stage.
