Wednesday: Check the Refill Before Listing the Product

3 min read
Check the refill before listing. Check the exact refill before promising repeat purchases.

Field note

Check whether customers can buy matching replacement parts before you list a product around continued use. A seller wanted to offer refills for a product with replaceable heads. The supplier did not sell the heads separately, and the search had found no matching heads elsewhere. Another seller preparing a personal-care store asked about extra parts alongside the main product. We said we would check which accessories were available and compatible.

Price the refill as a separate purchase

Ask for one refill kit on its own quotation line, tied to the exact main-product model. Include its contents, minimum purchase, price and expected supply time. A supplier may sell the device without selling its consumable parts separately. The original package contents cannot answer what your customer buys after using them.

Then check how you would fulfil that refill order. Ask whether the supplier can supply it separately and what the packed shipment would cost. Compare that total with the complete product. If a refill requires a bulk purchase, decide whether you will hold that stock before offering individual kits. A small accessory price alone cannot settle that choice.

Test the head against the model you will sell

Match a proposed replacement to the exact product version before approving it. Keep the supplier reference, dimensions and connection details beside the main-product reference. Similar photographs can help a search, but they cannot settle fit or function. Ask for samples of the proposed pair when those checks need physical parts.

For a replaceable head, check how it attaches, whether it stays secure and whether the product works with it. Agree the relevant checks before buying the samples. Keep the approved head and device references together so a later supplier change prompts another fit check. Do not copy a compatibility claim from a nearby model.

Choose what the launch can promise

If your offer depends on customers returning for replacement heads, hold that offer until you can order the matching refill. You can keep searching for parts for the exact model, or consider a different model with a checked refill option. Choosing a different device needs your approval; a sourcing team cannot settle that choice by sending a similar-looking accessory.

Use the product sourcing brief to collect the part specifications and separate purchase terms. Before you approve the listing, ask the sourcing contact for the exact refill reference and its separately orderable price. Put that answer beside the main-product reference and use it to decide whether the planned refill offer can launch.
